A highly reputable Custom Home builder is seeking to add a self-motivated and driven Executive Assistant to their team. The Executive Assistant will be responsible for helping the President manage activities across his multiple businesses. The businesses include: residential construction and related businesses, a sporting club, and a non-profit.
The Executive Assistant (EA) will report directly to the President and will support and manage the day-to-day leadership schedule and agenda and coordinate executive suite tasks with internal and external constituents. The Executive Assistant must be a highly organized and accomplished assistant who is capable of working up and down the organization and manage external affairs for the President and his respective companies, employees, clients, and network. The EA must possess a high level of organizational capability, energy and a disciplined approach to managing the President’s agenda and calendar. Confidentiality and discretion are vital.
Executive Assistant Duties and Responsibilities:
Strategically manage the President’s time, professional and personal, directing and coordinating daily priorities, appointments and commitments including calendar, tasks, meetings and deadlines
Manages general correspondence and distribution of information for the the President and the Executive team
Enable the President and the Executive team to become more efficient; manage and control his daily/weekly schedule and ensure his commitments are executed on time and at the expected quality
Prepare project and team briefs using verbal instruction from President/VP’S
Coordinate, schedule, and participate in all necessary meetings to ensure presentations, agendas, minutes, and support documents are prepared and to-do items are followed up on.
Organize, prepare, distribute, and track documents, contracts etc. for signature. File and document once complete
Coordinates special projects, as directed
Compose, edit, and proofread documents that may vary in scope, complexity, and confidentiality
Serve as a trusted sounding board for the President
Perform additional duties as assigned which may include, but are not limited to:
Place orders for materials needed at various job sites
World class customer service is a hallmark of this firm and will need to be the same for the Executive Assistant
Requirements and Qualifications for the Executive Assistant:
Bachelor’s degree or higher
5 years direct executive support experience
Excellent organizational time management, and project management skills
Outstanding reading, writing and verbal communication skills. Work requires the ability to efficiently write correspondence, reports and additional written documents. Ability to understand and communicate with all levels within organization
Excellent interpersonal, presentation and public speaking skills, both practiced and impromptu
Outstanding organizational and leadership abilities
Aptitude in sound decision-making and problem-solving. The right candidate will bring high energy to the role combined with a humble, low-ego approach
Resourceful and service oriented
Adept with technology, including strong computer skills in word processing, spreadsheet and presentation programs, email and internet applications (Microsoft, Google)
A driven work ethic with the utmost sense of responsibility and integrity
Ability to manage sensitive and confidential information with discretion
Ability to handle complexity and last minute changes to priorities and calendars
Compensation and Benefits:
Exceptional salary and bonus based on quality of Executive Assistant experience ($65,000-$85,000) ..
